  Burleson Consulting Communications & e-mail Policy

Effective communications are critical to consultants, and in this age of instant messaging and e-mail, many of the traditional rules have changes.

However there are some timeless guidelines that are used by all professional consulting companies. People judge us, from our appearance to the professionalism of our communications.  To ensure professionalism in all communications I'm requiring compliance with the following policies:

General Communication Policies

  • Use the phone with Clients - Client's like to hear a human voice.  Whenever possible, use the telephone when working with clients.  Internal communications are fine via IM and e-mail, but the clients feel special when you take a minute to pick-up the phone.  Remember, I'll pay your phone bill.
  • Inform the client about every work task - You should never worry about imploding a client's inbox with lots of e-mails and client's will feel honored that you keep them in-the-loop with operational details.  Lower quality consultancies fail to copy-in clients and them have to deal with billing disputes because the client was not aware that they were working. 
  • Be careful about disclosing confidential information - We must respect the privacy of our clients and ensure that we do not disclose anything confidential to any third party.  Also, remember that many of our internal communications are private.
  • Check your spelling and grammar - In ALL written communications with clients it is imperative that your text is typo-free and grammatically correct. 


E-Mail Policies

Nobody's perfect!  I make a typo in EVERY e-mail I type, and thank God, I always automatically force a spell-check before sending an e-mail. 
  • Include Message History - Nothing is more aggravating than not having the history of an e-mail.  Always set your e-mail to include the original message in all replies.
  • Automatically check spelling before sending - Please change you e-mail settings to automatically perform a spell check for ALL outgoing mail!  In Outlook it's easy, just go to tools --> options --> spelling and click the boxes.
